Sending students abroad for an internship is one of the most valuable experiences a VET school can offer. It is also a project with many moving parts. In this guide we walk you through the steps of organising an Erasmus+ internship in Valencia, and show where a local partner can take work off your hands.
1. Define your objectives and your group
Start with the basics: which students will travel, what they study, their age and level, and what they should learn during the placement. Clear learning outcomes make it much easier to find the right host companies and to assess the internship afterwards.
2. Know your role in the Erasmus+ project
Your school is the Erasmus+ beneficiary. You remain responsible for selecting participants, the learning agreements, assessment and reporting to your national agency. A local partner such as Koyot Agency takes care of the practical side on the ground, but does not replace your role in the project.
3. Start early
For internships we recommend contacting a local partner at least three months before arrival. That gives enough time to match every student with a suitable host company, arrange accommodation and prepare the students. Group trips can often be organised at shorter notice.
4. Share a clear brief
A good proposal starts with good information. Send your partner:
- your dates and the number of participants
- the age, field of study and level of the students
- the type of programme: internship, group mobility or language and culture
- your learning objectives and any special needs
There is no minimum or maximum duration or group size: a programme can be built around one student or a large group.
5. Match students with host companies
Valencia has a varied economy, with companies in hospitality, tourism, retail, logistics, IT and many other sectors. Each student is matched with a company based on their field and level, and placements are confirmed before arrival.
6. Arrange accommodation and transport
Students can stay with host families, in student residences or in apartments, depending on age, group and budget. At Koyot Agency we select, visit and check every accommodation ourselves. Every group is met at the airport and receives a welcome meeting and an orientation in the neighbourhood.
7. Prepare the students
Share practical information, house rules and emergency contacts in advance, and answer parents’ questions. A short Spanish course before or during the stay helps students feel confident from day one. Our language school Koyot Academy organises lessons in Valencia.
8. Support during the stay
During the internship, regular check-ins with students, host companies and families help to spot small issues before they grow. Students and teachers can reach us 24/7 through our emergency line. Read more about how we keep students safe.
9. Evaluate and follow up
After the mobility, evaluate the experience with the students, the host companies and your team. What went well, and what can be improved next time? These insights also help with your Erasmus+ reporting.
Don’t forget insurance
Participants travel with their own insurance, arranged by their school or Erasmus+ project. Check that it covers the internship and all planned activities.
